No matter which printer you are working with, it's important to maintain communication and collaboration throughout the production process to ensure your files are acceptable and materials are produced correctly. A strong printing partnership can greatly improve quality, efficiency and delivery.

Initiating the Mail Process
To initiate a mailing with Texas Mail House, email Victor Abijaoudi with the following information:
- Drop date (the date you want the mail piece to be sent to USPS to drop in the mail).
- Size and type of mail piece (ex: A7 envelope, #10 envelope, 4”x6” postcard or 5”x7” postcard).
- Pick up information from campus
- Mailing list and NCOA or Do Not NCOA details*
- Indicia or postage type
Additional Information to Include
Do you want an additional line to appear above the name and address? For example, you may want “To the parent(s) of” to appear on the first line.
Does your mailing require anything to be hand inserted into an envelope?
Does your mail piece require any tabs to be affixed For example, a tri-fold brochure or booklet not mailing in an envelope will require mail tabs.
Postage
Indicia: Most campus mailings will use the First-Class Bulk indicia. This can either be printed on the mail piece at the printer, or Texas Mailhouse can inkjet the indicia on to mail pieces.
Texas Mail House can also affix stamps to mail pieces. You can choose from First-Class or First-Class Non-profit stamps. You might choose this option if you want a more personalized look, or if you want your mailing to stand out among other mail pieces. You can also provide pre-purchased stamps of your choice.
Mail Approval
Texas Mail House’s procedure is to send a sample of an inkjet mail piece for approval before they drop it in the mail. This lets you know that the mailing is on track.
Notify Campus Post Office of Mailing
Email Carmen Johnson if you are using the St. Edward’s University indicia (permit no. 1315) with the following information:
- Quantity
- Description of mail piece. Example: postcard, pamphlet, booklet, envelope
- Drop date
- Postage amount
Helpful information:
- Texas Mailhouse needs to receive the email and mail list three days before the drop date.
- Texas Mailhouse can provide a quote before you initiate the mailing.
- The mail house needs 5% over the mail list quantity for spillage
- Give detailed information about the pick-up location including a contact name. Consider attaching a campus map to the email.
- *To NCOA or not to NCOA. NCOA stands for National Change of Address. It is a secure dataset of approximately 160 million permanent change-of-address (COA) records consisting of the names and addresses of individuals, families and businesses who have filed a change-of-address with the USPS. Asking the mail house to run an NCOA incurs a charge of $65 to $130 depending on the number of addresses on the mail list. For a larger mailing (over 10,000) this is recommended and may save money on postage. For a smaller mailing it may not be cost-effective.
St. Edward’s University has partnered with FedEx Office to provide discounted copy and print services for our campus community. FedEx Office can process both simple and complex copy and print orders, including signs and graphics and most orders are available to be delivered to campus at no additional cost. FedEx Office is also able to provide packing and distribution for these projects. FedEx does not mail postcards or other items to individual recipients via a mailing list.

Submitting Orders
The FedEx Print-On-Demand portal can be used to order St. Edward's University branded letterhead, business cards, signs, posters, brochures, color and black and white copies and more. If you do not have a FedEx Print-On-Demand account and would like to set one up, please submit a request.
Employees can also visit the FedEx Office location assigned to our university account at 327 Congress Ave (4th and Congress), to place orders in person or call 512-472-4448. Employees must provide the university’s FedEx Office Discount Number (0889865610) and show their University Photo ID to receive the university’s negotiated pricing.
Paying for Orders
Those with P-Card’s are strongly encouraged to submit orders via the FedEx Print-On-Demand portal and pay via P-Card within the portal. For those without P-Cards, orders can be placed by emailing usa0111@fedex.com or by calling 512-472-4448. Employees that submit orders via email or phone are able to arrange payment via P-Card or FOAPAL.
Employees that pay via personal card, cash, or check, can submit the expense via Concur to get reimbursed. Employees should keep the receipt for any orders paid for out-of-pocket to include in their expense report if necessary. For questions about Concur, please contact AP@sjzddclm.com.
Turnaround Time and Delivery
While most copy and print orders can be completed and delivered to campus within 24 hours, larger standard copy jobs or jobs that require binding, cutting, or lamination may take additional days to process and deliver. Delivery to campus is available for free for those orders that are completed at our partner FedEx Office near-site location.
More complex jobs such as large-scale printing, sign and graphic printing, and orders including graphic design services may take a few days to process. Similarly, orders for press printing, custom-printed boxes, and promotional products may require up to three weeks to source and process. When submitting these types of orders, please consider your timeline well in advance and allow enough time for processing.
Depending on the type of order, there are different delivery options available. For most projects, the default process will be to have those orders delivered by FedEx to the Operations Building and brought to the Smart Lockers in the Quick Dip for pickup.
If an employee needs a copy or print job completed more immediately, they can visit the near site FedEx Office location at 327 Congress Ave or use a departmental leased copier (one is available for use in the Library) or other desktop printer.

Project Submission
Once you approve the quote from Capital, upload your file and mailing list to their file portal. Include the details you originally submitted in your quote in the “message” column.
Print Approval
Capital’s procedure is to email a proof of the piece for approval before they print. This lets you know that the mailing is on track. Capital will deliver a physical copy of the proof upon request.
